Event Classification

Northeastern University hosts a significant number of meetings, events, and conferences annually. From time to time, it may be unclear if such an activity is considered internal or external, especially when a University sponsor is involved. To help in this determination, the University uses the below framework  to classify internal or external and when contracts, insurance and/or rental fees apply.

Internal Event

  • Event could not take place elsewhere if Northeastern University did not exist or the host employee and/or department did not work at the University.
  • Event is planned and promoted (from concept to execution), exclusively by a university employee and/or department. Northeastern is the producer.
  • The majority of attendees are of the NU community (faculty, staff, students).
  • Northeastern University is the presenter or facilitator for event.
  • Northeastern University is listed as the organizer, promoter and point of contact for all inquiries.
  • Northeastern University identifies and manages all logistics for the event (signage, room setups, staffing, etc.)

External with Northeastern Sponsor*

  • The event could take place elsewhere if Northeastern University did not exist.
  • Majority of event content is created/produced by external client. Northeastern is the venue.
  • External client is listed as the organizer and contact for any event inquiries
  • External client initiated contact with Northeastern University for assistance
  • External client may pay for costs associated with event

External with No Sponsor

  • Outside client with no connection to the University seeking space for an event, meeting, or conference.

* Most of the statements in the External with Northeastern Sponsor category are true, but it still seems as though an event should be internal, please contact the Office of External Events & Conference Housing as soon as possible to discuss specific details and unique circumstances. 

Example: Regional and National Conference bids do not meet internal event criteria.  Although it is important to the University to bring these events to campus, they clearly would happen elsewhere if Northeastern did not exist.
