Fiiltering Spam with Outlook

Rules are types of filters that can be used to sort and organize your e-mail. You can create a rule that will automatically transfer messages with SPAM: in the message subject to the Deleted Items folder or, alternatively, to any other folder you choose.

To create the rule follow these steps:

  1. Start Outlook.
  2. Open your Inbox folder.
  3. From the Menu bar, click Tools and then select Rules and Alerts…
  4. Click the New Rule button to start the Rules Wizard.
  5. Make sure the first option in the wizard, Start creating a rule from a template is selected.
  6. In Step 1, under Stay Organized, select Move messages with specific words in the subject to a folder .

  7. Under Step 2, you should see the following displayed: Apply this rule after the message arrives with specific words in the subject move it to the specified folder Click on “specific words”

  8. A Search Text window will open. In the field Specify words or phrases to search for in the subject, enter SPAM: (Note: Be sure to include the colon after the word SPAM: as shown). Once you’ve entered the text, click the Add button. SPAM: should then appear in the Search List.

  9. Click the OK button. You’ll be returned to the Rules Wizard and SPAM: should now appear in Step 2 instead of the “specific words” link you had clicked.
  10. Under Step 2, again, click on the link “specified” in the phrase “move it to the specified folder” to select where you want the spam mail moved.
  11. If you want to delete the spam, click on the Deleted Items folder. However, since legitimate mail can occasionally be marked as spam, it’s a good idea to create a special folder for the spam so you can periodically check it. You can either select a folder you already have, or click the New button to create a new folder. Then select that folder.

  12. Click the OK button once you’ve selected the folder. You’ll be returned to the Rules Wizard window.
  13. Click the Finish button. The new rule is now created.
  14. A rule called SPAM : will appear at the top of the Rules and Alerts window.
  15. Click the OK button to save the rule.

Now that you have created this rule, all incoming mail with SPAM: in the subject will be sorted into the folder you specified and not appear in your inbox.
