Guest Account Creation Process

(Senior Guests, Visiting Faculty, Vendors, etc.)

This process should be invoked whenever a Kent State University Guest account is required for a visiting guest. By following this process they will be granted access to FlashLine,LDAP, and AD (Active Directory). For access to additional resources, please indicate the following as part of the PURPOSE of the account:

Active Directory - for access to wireless networks, file shares, or the KSU-VPN

Email, Gmail -  for an @kent.edu email account and access to KSU Google Apps

Email, Exchange - for an @kent.edu email account including access to Outlook Calendaring

MEE - for access to Departmental computers running McAfee Endpoint Encryption

*** NOTE: All guest accounts require sponsorship of a full-time KSU employee (faculty or staff).***

*** Guest Account expiration date cannot exceed 1 year.  The account can be extended in 1 year increments by sponsor contacting  Access Management, prior to the account expiring. ***

PROCESS STEPS

  1. The sponsor contacts the Helpdesk at (330) 672-4357 or opens a new ticket through the support portal (support.kent.edu)

  2. The ticket should be routed to IS Access Management

  3. Include in the body of the ticket the following details:

    a.  Full name of sponsor:
    b.  Sponsor's email:   
    c.  Sponsor’s dept:
    d.  Sponsor's phone number:
    e.  Full name of guest:
    f.  Guest's alternate email:
    g. Guest’s home address:
    h. Guest's home phone number:
    i.  Guest's date of birth:
    j.  Date access expires (mm-dd-yyyy):  
    k. Purpose of account:
  4. The sponsor will be contacted by Access Management with the information pertaining to the account and instructions for resetting the password.

  5. Password Reset Instructions:

    Sponsor will notify each guest account requested and give them the information on how to set their password for the first time and their verification information.
    The guest will need this information when contacting the Helpdesk for future password resets.

    Please instruct each guest to log onto Flashline.kent.edu with this password.  The guest will then be instructed to change the password.  In the event they forget the password in the future, please have them contact the Helpdesk at 330-672-4357.  The Helpdesk will use the information sent from the sponsor to the guest for verification purposes.

    *Note*
    The information for the guest account will be used for verification purposes by the Helpdesk to reset passwords.

  6. Once this account is created if the person requires access to Banner INB, Cognos, or Document Imaging, you must follow the standard access process located here:
    http://www.kent.edu/is/security/accessusers.cfm
